TEAM HUB · QUICK GUIDE

Run your team hub.

Use the portal on your phone or computer. Everyone has their own employee account and only sees records their role allows.

Administrator: add a new employee

  1. Open Employees → Add employee.
  2. Enter their name, actual email, job role and site. Choose Employee or Supervisor.
  3. Open their profile, check the address, then select Send invitation and confirm the recipient.
  4. They open the email and choose a password. No ChatGPT account is needed.

Invitation not received? Check the email address and junk folder. An existing account should use Forgot your password on the sign-in page. Contact your technical maintainer if email delivery fails.

Assign a site or supervisor

Open the employee profile, change Site and save. Set Access role to supervisor for people who approve shifts. Site names must match exactly. Each person has one assigned site in this release. A supervisor reviews other employees’ shifts for that site; an administrator can review other employees across sites.

Employee: start and finish a shift

  1. Sign in to your account and open Attendance.
  2. Check your assigned site. Select Sign in to site on arrival.
  3. When leaving, enter unpaid break minutes and select Sign out & submit hours.
  4. The shift appears as Pending approval. Sign out of account is a separate action and does not finish a shift.

The server records Sydney times. You need an internet connection. The app does not verify your physical location. Ask your administrator if the site is wrong before signing in.

Supervisor: accept daily hours

  1. Open Attendance → Supervisor review.
  2. Open Review hours. Check the date, site, start/finish times and unpaid breaks.
  3. Select Accept hours, or Return for correction with a reason.
  4. Confirm the review. The app records who reviewed the shift and when.

You cannot approve your own shift. Ask another authorised supervisor or administrator. Returned shifts allow the employee to correct unpaid break minutes and resubmit with a note; clock timestamp corrections need technical assistance in this release.

Timesheets and records

Filter Attendance by date, choose My shifts or Supervisor review, and select Export approved CSV. This exports approved rows in the current view from the latest 2,000 authorised shifts. The export is not a full database backup. Administrators can inspect the latest 100 events in Audit history.

Tickets, forms and announcements

Open a profile’s Tickets tab to record ticket type, number and expiry. Image uploads have not been added yet. Forms currently tracks three checklist items; it does not contain the actual company forms or capture signatures. Administrators can add announcements; push notifications are not enabled.

Leavers and changed responsibilities

Open the profile and set Account status to Inactive. This blocks the person’s next data request while preserving history. Remove supervisor access when their responsibilities change. You cannot deactivate your own administrator profile from this screen.

Install on your phone

Open the website in your mobile browser. On iPhone, use Share → Add to Home Screen. On Android, use the browser menu’s Install app or Add to Home Screen option. Installation does not enable offline attendance.

Password and account help

Select Forgot your password on the sign-in page. Open the reset email and choose a password of at least 12 characters. If your account is not enabled, ask your administrator to check the profile email and active status. Do not share employee accounts.

Who maintains what?

You manage staff, sites, roles, approval reviews, ticket records, checklists and announcements. Your technical maintainer handles new features, security updates, email delivery, backups, restore tests, hosting and domain changes. Keep company ownership and recovery access for Vercel, Supabase, source code, email delivery and the domain.
